Conference Grant Program
PROCEDURE FOR REVIEW AND AWARD OF THE PARENTS ASSOCIATION CONFERENCE GRANT PROPOSALS
The Parents Association administers a conference grant program to provide funding for attending local (including neighboring states) conferences which support the education and enrichment of the students of Mounds Park Academy and staff development. Larger, national conference offerings, with longer announcement time, are requested through the regular grant program. The program is intended to provide funding for conference attendance outside of the scope of other budgeted funds. The program is available to all faculty and staff of MPA.
The Board of the Parents Association determines a theme for the academic year to which the conference themes must adhere. Please see Grant Application page for current theme. The funding is predetermined by the Board of the Parents Association and is adjusted based upon availability of monies and is carved out of the total grant program budget. A Vice President of the Board of the Parents Association is designated as the Grant Coordinator. If the VP is unable to fulfill this obligation, a Grant Coordinator may be appointed by the Board of the Parents Association. It is not a requirement to have the Grant Coordinator be a member of the Board.
Responsibilities of the Grant Coordinator:
- Determine the funds for the conference grant proposal application and award.
- Coordinate decision of the conference grant theme for the academic year in concert with the overall mission of the school and the PA board.
- Distribute the application for conference grants to MPA faculty and staff.
- Collect the submitted grants; send notification of the receipt of the grants to the applicants.
- Make copies of the conference grant proposals as obtained for members of the grant review committee for review. A copy of the procedure for conference grant review and review form is attached to each conference grant proposal.
Review of the conference grants:
- The review is conducted by the grant review committee.
- The review follows the guidelines for the scope and content of the conference grant application and how it pertains to the overall theme for the grant year as well as to staff development.
- The conference grants are accompanied by a supporting statement from a member of administration.
- The grant review committee includes representation from the Board of the Parents Association (minimally the President(s), Vice President(s), Treasurer, and Secretary or their designees) and three parent volunteers selected by the grant coordinator. When there is a conflict of interest between any member of the grant review committee and a potential grant recipient, the committee member is excused from discussion and voting of the proposal. Approval is by majority vote.
- The timing for review and recommendation to the board shall follow receipt of applications throughout the academic year until designated funds are exhausted, as predetermined by the Board of the Parents Association.
Announcement of conference grant award:
- The announcement of the conference grant award will be at a meeting of the Parents Association, Best of MPA or other venue where the conference grant recipient is present.
- The award is made by the Grant Coordinator or his/her designee.
- The grant monies must be spent within three months of receipt, unless previously agreed upon prior to that date. Money not realized is returned to the Parents Association Grant fund.
